  • request an appointment, online consultation, allocation, or fitting

Contact and identity
Name, email address, phone number (if provided).

Order and studio records
Order details, model, edition, serial number, specification, production and service history, warranty and repair records, and communications connected to your order.

Fitting and personalisation (only where relevant and only if you provide it)
Measurements, fit notes, and reference photographs you choose to share for made-to-measure or bespoke work.

Payments
Payment status, invoice records, transaction references. We do not store full card numbers. Card payments are processed by our payment provider(s).

Delivery and customs
Shipping details, tracking information, and customs information required for international delivery.

Website and device data
IP address, browser and device information, site usage logs, and cookie preferences.

What we do not do
We do not sell personal data. We do not use automated decision-making or profiling that produces legal or similarly significant effects.

4. Why we use personal data and the lawful basis

To provide our services and fulfil orders (contract)
Taking and confirming orders, production, delivery, service communications, aftercare, and repair handling.

To run the studio responsibly (legitimate interests)
Queue and allocation management, record integrity, fraud and abuse prevention, maintaining a reliable maker-and-serial archive for stewardship, and site security.

To meet legal obligations (legal obligation)
Accounting, tax, consumer and safety obligations, and responding to lawful requests.

To send updates (consent, where required)
If you ask to receive optional studio updates, we use your contact details for that purpose. You can withdraw consent at any time.

5. Sharing and disclosures

We share personal data only where necessary and for the purposes above.

Recipients may include:

  • website hosting and infrastructure providers

  • email and studio record tools

  • payment processors

  • shipping and customs partners

  • specialist labs or repair partners where lens work or technical service is required

  • professional advisers (legal, accounting) where necessary

If an authorised retailer or agent is involved in your order, they may act as an order agent for fitting handover and aftercare, under contract and on instruction.

We may disclose data to regulators, courts, or law enforcement where required.

Where this happens, we use approved safeguards such as the UK International Data Transfer Agreement (IDTA) and/or the UK Addendum to the EU Standard Contractual Clauses.   • Orders, warranty, and repairs: 5 years from completion of the relevant service, then reviewed. A minimal maker/serial stewardship record may be retained longer to support authenticity and long-term aftercare.

  • Accounting and tax records: 7 years.

  • Enquiries and allocation requests: 24 months after last activity.

  • Security logs: up to 12 months.

Where you request deletion, we will delete or anonymise data where the law allows. Where we must retain information (for example, tax records) or where deletion would undermine essential authenticity and service records, we will explain what we can and cannot remove.

9. Your rights

Where UK GDPR (and where relevant EU GDPR) applies, you may have rights to:

  • access your data

  • correct inaccuracies

  • request deletion in certain circumstances

  • restrict or object to certain processing

  • request portability in certain circumstances

  • withdraw consent where processing relies on consent

To exercise your rights, email studio@tanaka-eyewear.com with “Privacy request” in the subject line. We may ask for information to verify identity. We aim to respond within one month, subject to lawful extensions where applicable. You may complain to the ICO (UK) or your local authority.

This website and our services are not directed to children under 16. We do not knowingly collect their personal data.
